How Xtimo AI Works
Xtimo AI follows a clear process to go from your uploaded files to a finished, priced Bill of Quantities. You can run the whole thing automatically with Quick Mode, or work through each step manually with Step-by-Step Mode.
The steps
Step 1 — BOQ Upload
If you have an existing Excel BOQ, you upload it here. Xtimo AI reads the columns and extracts the work items. If the column layout is non-standard, you'll see a mapping screen where you can correct it before continuing.
This step only applies to the BOQ + Blueprints and BOQ Only project types.
Step 2 — Blueprint Upload
Upload your architectural drawing PDFs. Xtimo AI classifies each page — floor plan, elevation, section, cover sheet, and so on — then reads quantities for rooms, walls, doors, windows, and finishes.

Step 3 — Quantity and Price Finding
This step runs automatically after your uploads are complete. Xtimo AI resolves final quantities and then searches your element library to match each work item to a unit rate. No action is needed from you — you'll see a progress indicator while it runs.
Step 4 — Final Audit
A verification pass reviews the complete BOQ for anything unusual — missing prices, unexpected quantities, duplicate items, and more. You see a summary of flags and can review or dismiss each one before exporting. See Final Audit.
Step 5 — AI Assistant and Export
Review the finished BOQ, use the AI Assistant to make edits or ask questions, then export to Excel. See AI Assistant and Excel Export.

Quick Mode — Upload everything at once. Xtimo AI runs all steps automatically and shows live progress. You come back when the BOQ is ready for review. Best when you want to move fast.
Step-by-Step Mode — Work through each step manually. You control when each step proceeds and can review and correct at each stage. Best when you want more control over the process.
